Volunteer Coordinator

POSITION: TA1 – Volunteer Coordinator – Canadian Tulip Festival

CONTRACT LENGTH: Desired 26 Weeks

DESIRED START DATE: February 5, 2018

JOB SUMMARY: Coordinates all aspects of festival relating to volunteers.

REPORTING: Office Manager


  • Work out how many volunteers are needed and for what roles
  • Develop position descriptions for each role
  • Plan how and where to recruit volunteers and posting adverts
  • Interview volunteers
  • Complete relevant checks (like a police check)
  • Plan for volunteer retention and replacement
  • Develop policies and procedures.
  • Develop an orientation kit, volunteer handbook or introductory programs
  • Evaluate the orientation program
  • Present or manage the orientation for all new starters
  • Provide training or demonstrations in use of specific tools.
  • Arrange training and education opportunities
  • Conduct performance review or evaluation
  • Develop ways to recognize and reward volunteer efforts
  • Develop and manage policies, procedures and standards for volunteers
  • Look after the volunteer database and records
  • Manage any associated budgets and expenditure
  • Resolve conflict or manage grievances


  • excellent communication skills
  • strong interpersonal skills and the ability to deal with a diverse range of people
  • experience of managing or coordinating projects and volunteers (paid or unpaid)
  • an empathy with volunteers and an understanding of their needs
  • the capacity to inspire and motivate others
  • the ability to deal with information in a confidential manner and respond with sensitivity
  • good organizational skills and the ability to manage a variety of tasks
  • administrative and IT skills, and an ability to maintain records and produce clear written and oral reports
  • a flexible and non-judgmental approach to people and work
  • Educational background in one of the following: business and management studies, human resource management, social work, youth and community work
  • Additional languages an asset

This position is available through the JCP program offered by the Ottawa Festival Network. Prior to an interview, a JCP candidate eligibility is determined according to the following criteria:

  • Candidates must currently be in receipt of EI payments or have received EI payments within the last 3 years (Reach back status)
  • Candidates who established a claim for Employment Insurance maternity or parental benefits and were paid benefits within the past five years, and are re-entering the labour force after having left it to care for newborn or newly adopted children
  • Candidates may not leave employment to participate in JCP
  • Candidates must be living in Ontario (As determined by the Ministry of Advanced Education and Skills Development (MAESD)
  • Candidates must have submitted a current resume to Ottawa Festivals
  • At the discretion of the Ministry, candidates generally may only participate in the JCP once in a two year period and may not have recently participated in another Ministry funded employment program
